About us

StudyOS is a trading name of Mass Diplomacy Pty Ltd (ABN 94 041 858 660), an Australian company. In this Privacy Policy, references to "StudyOS", "we", "us", or "our" mean Mass Diplomacy Pty Ltd and its StudyOS platform. We are committed to protecting your personal information and complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Information we collect

We may collect the following types of personal information:

  • Account information — your name, email address, and password when you register.
  • Learning materials and data — the sources you add to your workspaces (documents, notes, web pages, video transcripts), the study material the Learning Engine generates from them (flashcards, quizzes, glossary terms, concept maps), and your study activity such as session results, mastery scores, streaks, and study plans.
  • Communications — messages you send via the AI tutor or our contact form.
  • Usage data — pages visited, features used, time spent, and device or browser information collected automatically through log files and cookies.

How we use your information

We use personal information to:

  • Provide, operate, and improve the StudyOS platform.
  • Personalise your learning experience, build your workspaces, schedule your study plan, and track your memory.
  • Communicate with you about your account and support requests.
  • Send transactional emails (e.g. password resets, study reminders, weekly summaries) where you have switched them on.
  • Meet our legal obligations and enforce our Terms of Service.

Disclosure of your information

We do not sell your personal information, and we do not use your learning materials to train AI models. We may share your information with:

  • Service providers — trusted third parties who help us operate the platform, including Supabase (database hosting), Postmark (transactional email), and OpenAI (AI features). Each is bound by confidentiality obligations.
  • Law enforcement or regulators — where required by Australian law or a valid court order.

Data storage and security

Your data is stored on servers located in Australia or, for certain third-party services, in other jurisdictions with equivalent data protection standards. We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, access controls, and row-level security within our database. Materials you add to a workspace are private to your account and are only processed to generate your own study material. No method of transmission over the internet is completely secure. While we take reasonable precautions, we cannot guarantee absolute security.

Cookies and tracking

We use essential cookies to keep you signed in and maintain your session. We may use analytics cookies to understand how the platform is used. You can disable cookies in your browser settings, though this may affect functionality.

Retention

We retain your personal information for as long as your account is active or as needed to provide services. If you delete your account, we will remove your personal information within a reasonable period, except where retention is required by law or for legitimate business purposes such as dispute resolution.

Your rights

Under the Australian Privacy Principles you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or out-of-date information.
  • Opt out of direct marketing communications at any time.
  • Make a complaint if you believe we have mishandled your information.

Children's privacy

StudyOS is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Where changes are material, we will notify you by email or via a notice on the platform. Continued use of StudyOS after changes are posted constitutes acceptance of the updated policy.
